THE WORKING DAY BEHIND THE PROBLEM
Does this sound like your week?
You call the technician for an update. They say it is already in the app. The office opens the job, checks a message thread, then asks again. Everyone has done something; nobody can see the whole handoff. The owner becomes the link between the crew, dispatch and billing.
Repeated calls interrupt the crew and leave the office unsure what to tell the customer or prepare next. The useful question is not who forgot: it is which record or decision the next person is still waiting for.
Try the crew-update exampleStart with the right records.
Review the same job and visit on both sides. A visit note may explain what happened without confirming that the whole job is complete or ready to bill.
- The job and visit references, site, assigned crew and scheduled date.
- The latest available field note: work performed, completion time, remaining work and any attachments your team can access.
- The office status, recorded next step, responsible person and any customer or billing information still needed.
What should I know before checking?
Start with one visit the office is waiting on. Find its crew note, confirm the job and visit references, then check the office status and the next step it needs. A saved note and an office update are separate records. If the note is unavailable or incomplete, leave the outcome unknown and name the person who can confirm it.
Make the handoff visible.
Pick the update someone is actually waiting for
Use one concrete question: did this visit finish, what remains, or can the office prepare the next step? Find the exact visit rather than treating the customer name as a job reference.
Read the crew note before making another call
Check what the note says and when it was saved. Separate work completed on this visit from the status of the overall job. If the note is missing, unclear or not accessible, record that gap rather than guessing.
Find what the office still needs
Compare the note with the office record. Is the office waiting on work details, an approval, a follow-up visit or a status update? A field note does not automatically resolve every office task.
Give the handoff a person and a next check
The office or dispatch owner confirms the remaining question with the right person, then updates the original tool through the normal process. Agree what future notes must include so the office can use them.
FICTIONAL EXAMPLE · A HANDOFF TO CHECK
Read the story across the records.
- Fictional customer
- Maya Thompson · thermostat service · Job J-204 / Visit V-204
- Crew visit
- Work complete Monday at 11:00 am · completion note recorded
- Office record
- Awaiting visit outcome · waiting for the crew’s completion note
What it establishes. The linked note already records a completed visit. The office is still waiting for that update in the records shown.
What to check next. The office opens the V-204 note and checks whether it supplies the information needed for its next step. An update elsewhere or remaining work could change the answer.
A gap needs context.
Check these legitimate explanations before deciding the handoff was missed.
- The note describes a completed visit, while the full job still has work remaining.
- A later update, customer sign-off or attachment changes what the office needs.
- Permissions, unavailable records or outdated copies prevent a supported comparison.
The questions your office will ask.
How do we stop chasing technicians for job updates?
Agree on the visit reference, the information the office needs and the person who handles an unclear note. Check the existing record before another call. Start with one recurring handoff so the team can see what information is actually missing.
Does a completion note mean the job is ready to invoice?
Check the work covered, agreed billing terms and any remaining approval. A visit may be finished while the job or billing decision is still open. Use the completed-work billing review when that is the next question.
