THE WORKING DAY BEHIND THE PROBLEM

Does this sound like your week?

The office opens the overdue list and gets ready to call. The customer replies, ‘I paid that already.’ A receipt sits in one place, the invoice still looks open in another, and now someone has to work out which record is behind. For the customer it is one job and one payment. For the team it may be several screens and a missing link.

A reminder sent before that check can frustrate a customer who has already paid and give the office more work to unwind. Assuming a payment settles the invoice can also hide a real remaining balance. Trace the payment before deciding whether the next action belongs to billing or to the customer.

Check what happened to the payment

Trace the payment before another reminder.

Use one invoice and the payment evidence behind the customer’s answer. Confirm where the disagreement sits before deciding whether the next conversation belongs to billing or the customer.

Give billing the conflicting references. Your authorized team confirms the records before any accounting change or customer reminder.

A receipt or status label alone does not settle the invoice. These checks support a review; they do not calculate confirmed debt or authorize a reminder, adjustment or collection.

Start with the right records.

Bring the invoice and the payment evidence together. The status is a starting point; the references, amounts and allocation explain whether anything remains due.

  • The exact invoice: reference, customer, job, original amount, remaining balance and status.
  • Available payment evidence: amount, date, reference, current payment status and invoice allocation.
  • Deposits, partial payments, credits, refunds and the relevant settlement or update timing.
What should I know before checking?

If an invoice shows unpaid but the customer says they paid, compare the exact invoice with the payment evidence before sending another reminder. Check the amount, reference, payment status and which invoice received the payment. Include partial payments, credits and refunds. The answer may be an allocation issue, pending payment or an outdated status.

Make the handoff visible.

  1. Make sure everyone means the same invoice

Check the invoice number, customer and job with the payment reference. The same customer may have paid another invoice or a deposit for different work. A name match alone does not explain the open balance you are looking at.

  2. Check what the payment evidence actually confirms

Read the customer’s receipt and the relevant payment record. Distinguish an initiated or pending payment from a confirmed received payment. Then check whether it was applied to this invoice. Each source may explain a different part of the payment’s progress.

  3. Work through the amount and the timing

Account for deposits, partial payments, credits and refunds. If you are looking at a bank deposit or processor total, it may combine several payments or reflect fees. Check the individual transaction and the source’s update timing rather than forcing totals to match.

  4. Resolve the record before deciding on a reminder

Give an unclear allocation or conflicting status to the responsible billing person. Your authorized team makes any correction in the source system. Confirm the remaining balance and payment situation before contacting the customer again, and record the explanation where the next person will find it.

FICTIONAL EXAMPLE · A HANDOFF TO CHECK

Read the story across the records.

Office invoice screen
Invoice I-512 remains open
Customer payment evidence
A received payment references the same customer
Allocation reviewed
No confirmed link between that payment and I-512

What it establishes. There is payment evidence to investigate, but it does not yet establish that I-512 is settled. The missing link is the payment’s invoice allocation.

What to check next. The billing owner confirms the payment reference, amount and allocation in the billing system. They resolve or explain the record before deciding whether a customer reminder is appropriate.

A gap needs context.

Check these legitimate explanations before deciding the handoff was missed.

  • The customer made a partial payment or paid a different invoice.
  • A credit or refund changes the balance still due.
  • The payment is pending, reversed or has not yet appeared in another tool.
  • The reviewed records are incomplete, outdated or linked to the wrong customer or job.

The questions your office will ask.

Why does an invoice still show unpaid after the customer paid?

Possible explanations include a payment applied to another invoice, a partial payment, a pending payment or a status that has not updated. Check the exact invoice, the individual payment and its allocation. The unpaid label by itself does not tell you which explanation applies.

Is the customer’s payment receipt enough to mark the invoice paid?

Use the receipt to trace the payment in the relevant source system. Check what the receipt confirms, whether the payment is received and whether the amount applies to this invoice. Let your authorized billing team decide and make any accounting change using its normal process.

What if the payment amount is less than the invoice?

Check whether it is a deposit or partial payment and whether credits or refunds affect the remaining balance. If the figure comes from a processor payout or bank deposit, look at the individual payment as well. Those totals can describe different things.

Can Signal fix the unpaid status or collect the balance?

Signal’s approach is read-only. It compares available evidence for your team to review. Your authorized team handles accounting updates, reminders and collection.
