LAUNCHING SOON · THE SIGNAL 50

The inquiry came in. Can the office find it?

An inquiry arrived, but the office can’t find it. Trace where it went. Signal’s role is to help review available records; your team checks delivery and handles any repair in its own tools.

The first 50 customers receive a free initial Signal scan after launch.

THE WORKING DAY BEHIND THE PROBLEM

Does this sound like your week?

The owner sees a new inquiry and expects the office to call. The office finds nothing in its customer list. The person may be under an existing contact, waiting for confirmation, or absent from the records the office can see. Find the point that needs an answer.

The office needs a usable record and a responsible person. Checking each checkpoint also avoids creating a duplicate contact or repeating a conversation already underway.

Trace the missing inquiry

Follow one inquiry through four checkpoints

Write the evidence beside each checkpoint. Keep an unavailable record marked unknown.

Captured

Evidence to inspect
Original submission reference and time
Question to answer
Is there an inquiry record at the source?
Next check
Identify the source or record that still needs checking.

Delivered

Evidence to inspect
Available delivery or sync status
Question to answer
What does the delivery record actually confirm?
Next check
Ask the source or integration owner about unresolved status.

Usable in the office

Evidence to inspect
Matching contact or inquiry and its current state
Question to answer
Is it existing, pending, excluded or still unlocated?
Next check
Confirm identity and any legitimate pending step.

Owned

Evidence to inspect
Assigned person and available notification
Question to answer
Who knows they should handle the inquiry?
Next check
Confirm responsibility before another person responds.

A checkpoint without evidence needs a review; it does not prove the customer or inquiry was lost.

Start with the right records.

Check what happened to this inquiry before investigating follow-up. A missing notification and a missing customer record are different questions.

  • The original inquiry: form or ad source, submission reference, date, time and timezone.
  • Available delivery or sync status, including the selected source and any recorded exception.
  • Existing contact or inquiry records, approval or confirmation states, and the assigned person or notification.
What should I know before checking?

Start with one inquiry and trace its source record, delivery status, CRM record and team notification. A success page or an ad conversion is not proof that all four happened. Search existing contacts and check legitimate approval or confirmation states before treating the inquiry as missing.

Make the handoff visible.

  1. Find the source submission

Confirm the original inquiry record, its form and time. A success screen or conversion total is a different observation. If the source record is unavailable, leave capture unknown.

  2. Look for the record the office can use

Search by the available contact details and references, including existing contacts. Review the normal filters and any approval, duplicate, invalid-entry or confirmation state exposed by your installed tool.

  3. Give the unresolved checkpoint an owner

Record whether delivery, record creation or notification needs checking. The responsible person uses the original tool or support guidance. Confirm the existing record before creating another or contacting the customer.

FICTIONAL EXAMPLE · A HANDOFF TO CHECK

Read the story across the records.

Form source
Inquiry Q-42 submitted Monday morning
Office search
Matching inquiry found under an existing contact
Team notification
No notification located in the inbox reviewed

What it establishes. The inquiry is in the office records. Notification and responsibility still need checking.

What to check next. The office confirms who is handling Q-42 and checks the notification settings or other inboxes without creating another contact.

A gap needs context.

Check these legitimate explanations before deciding the handoff was missed.

  • The submission is awaiting a legitimate approval or customer confirmation.
  • The tool identified spam, a duplicate or an invalid entry; review its evidence before changing that decision.
  • Delivery is still within the installed tool’s expected timing, or the contact exists outside the current view.

The questions your office will ask.

Does a success page mean the CRM received the inquiry?

It is evidence of what the page displayed. Check the source submission, available delivery status and matching CRM record before concluding that the whole handoff happened.

Should we enter the customer again?

Search existing contacts and pending states first. Have the responsible person confirm what the installed tool recorded before creating another record.

Can Signal repair the delivery?

Signal’s described role is read-only review of available records. Your authorized team investigates delivery and changes configuration in its original tools.

THE BROADER SIGNAL PICTURE

See today’s priorities. Understand what changed.

Signal is launching soon. It is designed to compare available records across your existing tools, show what needs attention and help your team understand the changes behind the working day.

Who needs the next conversation?

A new inquiry, missed call or unanswered message can leave the next step unclear.

Signal compares available lead and contact records so your team can check whether follow-up is needed. A conversation elsewhere may change the answer.
