We’ll follow up to confirm fit and explain next steps before launch.
One job. Several people. Several screens.
The estimator knows what was quoted. The dispatcher knows when the crew is going. The crew knows what was finished. Billing knows which invoice went out. The customer expects those pieces to add up to one clear experience.
When the next person cannot see the handoff, someone has to call around and rebuild the story. Work through the stages below with a job your team is already discussing. You are looking for an answer and an owner, rather than asking everyone to start another spreadsheet.
Deposits, progress billing and service agreements can change the order. Use the actual agreement and your business’s process; these are review points, not a mandatory sequence.
Ask the next question at each stage.
01 · THE NEXT HANDOFF
The customer gets in touch.
Did someone pick this up, or did a missed call become nobody’s next task?
- Who picks it up
- Whoever handles the first call or inquiry
- What to check
- Inquiry, customer reference and the promised response
Name the person who will respond and the agreed next step. A received inquiry is not the same as a conversation.

Your team sends the quote.
The estimate went out. Who checks whether the customer needs anything else?
- Who picks it up
- The estimator or person following up
- What to check
- Current quote, scope, sent date and conversation history
Make the next conversation visible. Respect a customer who has declined or asked you to wait.

The customer says yes.
Does the office know what was approved and whether it is ready to book?
- Who picks it up
- The person handing approved work to scheduling
- What to check
- Accepted quote version, agreed scope and any conditions
Confirm readiness, including agreed deposits, materials and customer timing. Approval and readiness can be different.

Someone puts the work on the calendar.
Is there a real booking for this work, or is everyone assuming somebody else made it?
- Who picks it up
- The dispatcher or scheduling contact
- What to check
- Job, visit, date and link to the approved quote
Match the booking to the quote and customer. If the work is waiting, record the reason and next check.

The crew completes the work.
Can the office see what the crew finished and what is ready for billing?
- Who picks it up
- The field lead and person reviewing completion
- What to check
- Completion note, delivered scope and any sign-off still needed
Check the completion evidence and the agreement. Separate finished work from work still awaiting approval.

Billing checks the invoice.
Was the right work invoiced—and was that invoice actually sent?
- Who picks it up
- The person responsible for invoicing
- What to check
- Linked invoice, delivered scope, deposits and billing holds
Confirm what has already been billed and delivered to the customer. Do not issue another invoice until you have checked for an existing one.

The payment reaches the right invoice.
The customer says they paid. Do the invoice and payment records agree?
- Who picks it up
- The authorized billing or bookkeeping person
- What to check
- Invoice, payment reference, allocation and remaining balance
Check the payment, its allocation and any credits or refunds before deciding whether a reminder is appropriate.

Make “handled” mean something clear.
Give an unresolved step a job reference, a reason, a responsible person and a next check. The owner should be able to see what is ready, what is deliberately waiting and what still needs an answer. Keep customer details and the actual work in your existing business records.

Signal’s read-only approach compares available records and shows missing steps or changes for your team to review. The job can stay in your CRM, the appointment in dispatch and the invoice in billing. Signal helps show what needs checking between them; your team handles the next action.
